Overview

The Photo Processor helps you:

  • Create multiple crop variations from each image
  • Maintain consistent aspect ratios for headshots
  • Optimize for web (smaller file sizes, faster loading)
  • Batch process entire sessions at once
  • Deliver via secure download links

Accessing the Photo Processor

  1. Go to Photo Processing in your dashboard
  2. Or access directly at photos.studioflows.app

Uploading Photos

Supported Formats

Format Supported Notes
JPEG/JPG Recommended for fastest processing
PNG Good for graphics with transparency
HEIC iPhone format, auto-converted
TIFF Large files, slower upload

File Size Limits

  • Individual file: Up to 50MB
  • Batch upload: Up to 500MB total
  • Number of files: Up to 50 images per batch

How to Upload

  1. Click Upload Photos or drag and drop files
  2. Wait for upload progress to complete
  3. Preview thumbnails will appear
Pro tip: For fastest processing, export from Lightroom at 80% quality, long edge 4000px. This balances quality with upload speed.

Crop Presets

Standard Headshot Crops

These crops are optimized for professional headshot delivery:

Crop Name Aspect Ratio Common Uses
Loose Crop 10:8 (5:4) Full upper body, shoulders visible
Tight Crop 10:8 (5:4) Closer framing, face focus

Adjusting Crops

Each image has sliders to fine-tune the crop:

  1. Select an image in your upload
  2. Use the horizontal slider to adjust left/right position
  3. Use the vertical slider to adjust up/down position
  4. Preview updates in real-time
Note: Adjustments are saved per image. Each image remembers its crop settings until you process the batch.

Processing Your Batch

Step 1: Review All Images

Scroll through your uploaded images and adjust crops as needed. Pay attention to:

  • Eye placement (should be in upper third)
  • Centering of face
  • Nothing important cut off at edges

Step 2: Select Output Options

  • Quality: 80-90% recommended for web delivery
  • Crops to include: Select which crop variations to generate
  • Output size: Max dimension for output images

Step 3: Process

  1. Click Process All
  2. Wait for processing (progress bar shows status)
  3. Download links will appear when complete

Downloading Processed Photos

Individual Downloads

Click the download icon next to any processed image to download that specific crop.

Batch Download

Click Download All to get a ZIP file containing all processed images organized by crop type.

Client Delivery

Generating Share Links

After processing, you can create a shareable link for clients:

  1. Click Create Share Link
  2. Set expiration (7 days, 30 days, or never)
  3. Optional: Add password protection
  4. Copy the link to send to your client

Client Experience

When clients open the share link, they see:

  • Gallery of their processed images
  • Download options for each crop
  • One-click download all button
  • Your branding (if configured)

Best Practices

For Headshot Sessions

  1. Export finals from Lightroom at consistent settings
  2. Upload all images for a client at once
  3. Adjust crops while reviewing the full set
  4. Process all at once for consistency
  5. Send single download link to client

Naming Conventions

Processed files maintain your original naming plus crop type:

Original: portrait_final_001.jpg
→ portrait_final_001_loose.jpg
→ portrait_final_001_tight.jpg
→ portrait_final_001_profile.jpg

Troubleshooting

Upload fails

  • Check file size (under 50MB per image)
  • Verify file format is supported
  • Check internet connection stability
  • Try uploading fewer files at once

Processing is slow

  • Large files take longer - consider resizing before upload
  • Many files = longer queue time
  • Wait for the full batch to complete

Crops look wrong

  • Use the preview sliders to adjust position
  • Ensure original image has enough resolution for cropping
  • Check that face detection is finding the correct subject

Download link expired

  • Process the batch again to generate new links
  • Consider setting longer expiration for client links
